Learner records spread across spreadsheets
Enrolment details, progress notes and assessment results were stored in separate spreadsheets maintained by different team members. Data was inconsistent and often out of date.
Case study — LMS and reporting
A UK training provider was managing learner progress, assessment records and enrolment status across multiple spreadsheets. Directors had no real-time visibility. This is the system we built to replace it.
This is a representative example based on a common client scenario. Identifying details have been changed.
The situation
Enrolment details, progress notes and assessment results were stored in separate spreadsheets maintained by different team members. Data was inconsistent and often out of date.
When learners completed a course, certificates were produced manually using a Word template. Each one took 10–15 minutes and was often delayed by weeks.
Directors could not see current enrolment numbers, completion rates or revenue without requesting a manual report from the admin team.
The solution
A branded learner portal where students log in, access their courses, view their progress, complete assessments and download their certificates.
Course enquiries flow from the website into an enrolment CRM pipeline. Enrolment confirmed, documents sent and course access granted — all tracked in one system.
When a learner passes their final assessment, a personalised certificate is generated and delivered to their learner portal and email address automatically.
Tutors log in to see their assigned learners, track progress, submit assessment results and add notes. All activity recorded centrally.
Live dashboard showing total enrolments, completion rates per course, assessment pass rates, outstanding learners and revenue by period.
When a learner enrols, they automatically receive a welcome email, login credentials, course schedule and first assignment. No manual setup per learner.
The outcome
All learner records, progress tracking and assessment results now live in one system, accessible to the whole team in real time.
Certificate production time went from 10–15 minutes per learner to zero. Every certificate is generated and delivered automatically on completion.
The director dashboard updates in real time. No more waiting for a manual report to understand current enrolment, completion and revenue position.
